Terms of Service
Last updated: October 12, 2026
1. Acceptance of Terms
These Terms of Service ("Terms") govern your use of PromptMail ("Service," "we," "our," or "us"), which provides a personal AI communication assistant (the "Assistant") for your Gmail and Google Chat conversations and allows you to send and read emails from supported AI clients by connecting your Gmail account. By signing in with Google, authorizing access to Gmail or Google Chat, or otherwise using PromptMail, you agree to these Terms. If you do not agree, do not use the Service.
Our Privacy Policy describes how we collect, use, and protect your data and is incorporated into these Terms by reference.
2. Description of Service
PromptMail offers two ways to work with your Google account:
- The Assistant — A web application for Gmail email threads, new emails, Google Chat conversations, and Manual mode. The Assistant can summarize messages, draft replies, and send Gmail or Google Chat messages you approve. In Manual mode you paste or share messages from another app and copy or share drafts back yourself; PromptMail does not send those messages. When you set a follow-up goal and leave autonomous follow-up on, PromptMail drafts the next reply for you to copy after you add a new message, and still does not send it. When you explicitly authorize autonomous follow-up on a Gmail or Google Chat conversation, an agent can monitor that conversation for new inbound replies and respond within the goal, guardrails, reply limit, expiry, and account-level rules you configure. Every action is recorded in a conversation timeline.
- AI client connector — An MCP server (Model Context Protocol, including interactive MCP App experiences where supported) that connects your Gmail account to supported AI clients so you can send and read emails through those clients.
We use Google Sign-In, the Gmail API, and the Google Chat API to provide this functionality, and a third-party AI model provider to generate drafts and decisions. We do not guarantee uninterrupted or error-free operation, and we may change, suspend, or discontinue features with reasonable notice where practicable.
3. Your Account and Google Authorization
To use PromptMail you must sign in with a Google account. Gmail permissions (read and send email) and Google Chat permissions (read and send messages in your spaces) are requested separately when you enable each feature, and are required for the corresponding parts of the Service. You are responsible for maintaining the security of your Google account and for all activity that occurs through your connection to PromptMail. You may revoke PromptMail's access at any time via your Google Account permissions. Your use of Google's services is also subject to Google's Terms of Service and applicable Google API policies.
4. Autonomous Agent Sending
By default the Assistant does not send anything without your approval. Manual mode never sends on your behalf. When you authorize autonomous follow-up for a Manual conversation, the agent only prepares drafts for you to copy after you paste a new message. When you authorize a Gmail or Google Chat conversation for autonomous follow-up, you instruct an agent to send messages on your behalf without further confirmation, within the limits you set. You acknowledge and agree that:
- Messages sent through the Assistant, whether approved by you or sent autonomously by an agent under an authorization you granted, are sent from your account and are your communications. You are responsible for them as if you had sent them yourself.
- Drafts, summaries, and decisions are generated by an AI model and may be inaccurate, incomplete, or inappropriate for your situation. You should review drafts before approving them and choose the guardrails, reply limit, expiry, and "always escalate to me" setting that suit the sensitivity of each conversation.
- You may revoke an authorization at any time from the conversation. Revocation stops future autonomous sends but does not recall messages already delivered.
- Autonomous checks for new replies run periodically and depend on Google APIs and our AI model provider; we do not guarantee that an agent will respond within any particular time or at all.
- We may pause, limit, or revoke autonomous sending, for example if we detect abuse, errors, or unusual volume.
5. Acceptable Use
You agree to use PromptMail only for lawful purposes and in accordance with these Terms. You must not:
- Use the Service, including an agent's autonomous sending, to send spam, phishing, malware, unsolicited bulk messages, or otherwise harmful or illegal content.
- Use the Assistant to impersonate another person, to deceive recipients about whether they are corresponding with a person or an automated agent where the law requires disclosure, or to send messages on behalf of an account you are not authorized to use.
- Use the Service in any way that violates applicable law or the rights of others.
- Attempt to gain unauthorized access to the Service, our systems, or any third-party accounts or data.
- Abuse, overload, or interfere with the Service or its infrastructure.
- Use the Service in a manner that could harm, disable, or impair the Service or other users.
We may suspend or terminate your access if we reasonably believe you have violated these Terms or applicable law.
6. Intellectual Property
PromptMail and its content, features, and functionality (excluding user content and third-party services) are owned by us or our licensors. You do not acquire any right, title, or interest in the Service except the limited right to use it in accordance with these Terms.
7. Disclaimer of Warranties
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, SECURE, OR ERROR-FREE. YOU USE THE SERVICE AT YOUR OWN RISK.
8. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, WE (AND OUR AFFILIATES, OFFICERS, DIRECTORS, EMPLOYEES, AND AGENTS) SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, DATA, OR GOODWILL, ARISING OUT OF OR RELATED TO YOUR USE OF OR INABILITY TO USE THE SERVICE, EVEN IF WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES. IN NO EVENT SHALL OUR TOTAL LIABILITY EXCEED THE AMOUNT YOU PAID US IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM, OR ONE HUNDRED U.S. DOLLARS ($100), WHICHEVER IS GREATER. SOME JURISDICTIONS DO NOT ALLOW THE EXCLUSION OR LIMITATION OF CERTAIN DAMAGES; IN SUCH JURISDICTIONS, OUR LIABILITY SHALL BE LIMITED TO THE GREATEST EXTENT PERMITTED BY LAW.
9. Termination
You may stop using the Service at any time by signing out and revoking PromptMail's access in your Google Account settings. We may suspend or terminate your access to the Service at any time, with or without cause or notice. Upon termination, your right to use the Service ceases. Sections that by their nature should survive (including disclaimers, limitation of liability, and governing law) will survive termination.
10. Changes to the Terms
We may update these Terms from time to time. We will post the updated Terms on this page and update the "Last updated" date. If we make material changes, we will provide additional notice (e.g., on our website or by email where appropriate). Your continued use of the Service after changes become effective constitutes acceptance of the revised Terms. If you do not agree to the new Terms, you must stop using the Service.
11. Governing Law and Disputes
These Terms shall be governed by and construed in accordance with the laws of the United States and the State of California, without regard to conflict of law principles. Any dispute arising out of or relating to these Terms or the Service shall be resolved in the courts located in California, and you consent to the personal jurisdiction of such courts.
12. General
If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions will remain in effect. Our failure to enforce any right or provision does not waive that right or provision. These Terms constitute the entire agreement between you and us regarding the Service and supersede any prior agreements. We may assign these Terms; you may not assign them without our prior written consent.
